We seek an energetic and responsible professional for the position of Office Manager, who will ensure smooth office operations, create a cozy atmosphere, and take on various tasks.

What we’re looking for:
- desire to develop as an office manager: perseverance and proactivity;
- Ability to prioritize tasks, stay focused on the main objectives, and quickly adapt to new circumstances as you’ll be handling critical tasks and ensuring their timely completion;
- Ability to independently solve problems and react promptly to changes;
- Effective communication skills as you’ll be interacting with colleagues and contractors;
- Ability to articulate and present ideas, as you’ll have the opportunity to influence decision-making and present your ideas;
- Experience with Microsoft Office suite and Google Docs/Sheets/Forms/Calendar;
- Fluent in Ukrainian, and English proficiency at a conversational level.
Will be a plus:
- 1 year of experience in positions such as Office Manager/Personal Assistant/Administrator.
Your responsibilities will include:
- Maintaining office order throughout the day (the video tour of our office);
- Procuring necessary resources for seamless office operations (groceries, coffee, water, office supplies);
- Organizing corporate breakfasts, massage sessions, happy hours, as well as assisting in the preparation and execution of events in collaboration with the HR & Event manager;
- Welcoming employees on significant occasions (both in Ukraine and abroad), preparing and sending get-well boxes, as well as developing and implementing branded products;
- Preparing for the arrival of new employees: assembling Welcome boxes, printing photos for the birthday board, updating information in corporate resources, and administering them;
- Budgeting office expenses and ensuring compliance;
- Asset management of the company’s facilities jointly with a representative from the Finance team and conducting inventory;
- Managing the corporate library of the Kyiv office;
- Setting up remote workstations for employees and compensating for workstation rentals in coworking spaces;
- Monitoring the functionality of all devices and systems and timely response in case of malfunction;
- Managing the reservation process for workstations in the office through the coworking system;
- Conducting thematic surveys regarding office arrangement and implementing relevant suggestions;
- Creating and updating documentation regarding administrative office processes.
